Privacy notice
Your information.
A clear approach.
How VERTO PORGE handles personal information connected with this website and business enquiries.
Effective and last updated: 01 November 2026
1. Who is responsible
VERTO PORGE is a South African private company, registration number 2024/052782/07.
Registered office: 7th Street, 25322 Khutsong Ext, Pretoria, Gauteng, 0122, South Africa.
Email: ntsako@vertoporge.com
Telephone: +27 74 261 8529
VERTO PORGE is the responsible party for this website and enquiries addressed to the company. Our privacy contact is Ntsako "Roman Figga" Rihlampfu at the email address above.
2. Information we receive
When you submit our Request a Proposal form, we receive your organisation name, contact name, business email, optional phone number, selected package, business challenge, preferred timeframe, optional budget band, preferred next step and privacy acknowledgement, together with a submission timestamp and response identifier. We also receive the information you provide by email or telephone. Submitting an enquiry is voluntary. Fields marked required are necessary to submit the form and assess your request; phone number and budget are optional. If you prefer not to use the form, you may email or telephone us. Without sufficient contact details or requirements, we may be unable to respond meaningfully. Avoid sending identity documents, financial account details, sensitive personal information or information about others unless needed and you are entitled to share it.
Hosting and network services may process technical data such as IP addresses, request times, pages requested, browser information and security events to deliver and protect the website. Enquiry information comes directly from you; technical information is generated when your browser requests the website.
3. Purposes and grounds for processing
Relevant information is used to answer enquiries, assess requirements, prepare proposals, administer an agreed relationship, maintain appropriate records, comply with legal obligations and protect the website and our rights. Depending on the circumstances, processing is justified by steps towards or performance of a contract, legal obligations, legitimate interests recognised under POPIA, or consent where required. An enquiry does not subscribe you to a mailing list.
4. Website features and cookies
The website links to a Google Form hosted separately by Google. Submissions are saved in a linked Google Sheets response spreadsheet and copied to our restricted Website Enquiry Intake register in VP-IOS. Automation checks for possible duplicate enquiries, assigns an intake status and sends an internal email notification to the founder. A person reviews enquiries before qualification into the CRM Pipeline. No automated decision determines whether we will accept a project or what price we will offer. There are no visitor accounts, checkout or online payments. Email and telephone links open your chosen application; you decide whether to send a message or call. Google Forms operates under Google’s applicable privacy and cookie terms. Website code does not add analytics, advertising trackers or non-essential cookies. Fonts and images are served locally with the website. Hosting and security providers may use technical mechanisms necessary to deliver and protect their services under their applicable privacy terms.
5. Providers and disclosures
The website is hosted through Sites with Cloudflare infrastructure for delivery. Business email, Google Forms, Google Sheets and Apps Script use Google Workspace. Access to enquiry records is limited to the founder and people specifically authorised for enquiry handling or service delivery. Google processes form submissions, response storage and automation as a service provider under the applicable arrangements. These providers, and authorised people helping respond to enquiries or deliver an agreed service, may process relevant information for those purposes. Information may also be disclosed where required by law or necessary to establish, exercise or defend legal rights. We do not sell enquiry information.
6. International processing
Hosting and email providers operate internationally, so information may be processed outside South Africa. Where a transfer falls under POPIA, we must use an applicable lawful basis and protections required by section 72, such as appropriate contractual or legal protections or another permitted ground. This notice does not promise that all information stays in South Africa.
7. Retention
We review inactive enquiries for deletion or de-identification 12 months after the last substantive contact. This review covers Google Forms responses, linked response spreadsheets, intake and CRM copies, and associated enquiry correspondence and logs. A relevant record may be retained longer for an active relationship, a legal recordkeeping obligation or legal claims, with the reason documented. Retention reviews are manual; this notice does not imply automatic deletion. Providers may retain backups under their applicable arrangements. Contact us about a specific record or deletion request.
8. Security
We are responsible for taking reasonable technical and organisational measures appropriate to the information and risks, as required by POPIA. No online service or email transmission is guaranteed completely secure. Report suspected misuse or an information-security incident to us promptly. Legally required security-compromise notifications will be handled under applicable law.
9. Your rights
Subject to applicable conditions and exceptions, you may ask whether we hold your information, request access, seek correction or deletion, object to certain processing, or withdraw consent where processing relies on consent. Withdrawal does not invalidate earlier lawful processing. Proportionate identity verification may be needed before releasing or changing records; applicable procedures, fees or lawful refusals will be explained. Email ntsako@vertoporge.com with enough detail to identify the record or concern.
10. Complaints
You may contact us and may also complain to South Africa’s Information Regulator. Its official complaints page explains the current process and links to its eServices portal. You may also email POPIAComplaints@inforegulator.org.za or telephone 010 023 5200. This notice does not require you to contact us first.
11. Scope and changes
This notice covers the website and initial enquiries. Additional notices and agreed processing terms may apply to client projects, talent relationships and other services. Relevant changes will be reflected here with a revised date. See our Website Terms.
